LixenAI ("Company," "we," "us," or "our") is a U.S.-based AI-powered business system headquartered in Norwalk, California. We provide CRM, marketing automation, and AI-driven communication services to Sales Partners and their clients (collectively, "Users"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use our platform, website (lixen.ai), and related services (collectively, the "Services").
By accessing or using our Services, you acknowledge that you have read and agree to this Privacy Policy. If you do not agree, please discontinue use immediately.
2. Scope
This Privacy Policy applies to:
- Visitors to our website and marketing materials
- Sales Partners enrolled in the LixenAI partner program
- Clients served through LixenAI or a LixenAI Sales Partner
- Any individual or entity that interacts with LixenAI's platform or personnel
3. Information We Collect
3.1 Information You Provide Directly
- Account Information: Name, business name, email address, phone number, mailing address, and password upon registration.
- Billing Information: Payment method and billing address. Full card data is processed by Stripe and is not stored on our servers.
- Communications: Messages, support tickets, and correspondence you send to us.
- Business Data: Contact lists, conversation histories, campaign content, forms, and other data you input into the platform.
- Agreement & Contract Data: Electronic signatures, initials, and acknowledgments captured through our Documents & Contracts features.
3.2 Information Collected Automatically
- Usage Data: Pages visited, features used, actions taken, timestamps, and session logs.
- Device & Technical Data: IP address, browser type, operating system, device identifiers, and referral URLs.
- Cookies & Tracking Technologies: We use cookies and similar tools to enhance your experience and analyze usage. See Section 8.
- AI Interaction Logs: Records of conversations and voice calls processed through our AI features, used for service delivery and quality assurance.
3.3 Information Received from Third Parties
- Integration Partners: Data received when you connect third-party services such as Google, Meta (Facebook/Instagram), LinkedIn, TikTok, Stripe, or Twilio.
- Public Sources: Publicly available information used to verify business identity or supplement contact records.
4. How We Use Your Information
We use the information we collect to:
- 4.1 Provide, operate, and maintain the Services — including account management, billing, and customer support.
- 4.2 Power AI features — including Conversation AI, Voice AI, SMS automation, and email marketing workflows.
- 4.3 Facilitate communications — including transactional messages, operational alerts, and support responses.
- 4.4 Maintain platform security — including fraud detection, abuse prevention, and compliance monitoring.
- 4.5 Improve and develop Services — including analyzing aggregated usage patterns and developing new features. We do not use your client conversation data to train generalized AI models without your consent.
- 4.6 Meet legal and compliance obligations — including responding to legal process, enforcing agreements, and protecting the rights and safety of LixenAI and its users.
- 4.7 Send marketing communications (where permitted) — including product updates and promotional offers. You may opt out at any time.
5. How We Share Your Information
We do not sell your personal information. We may share data in the following circumstances:
- 5.1 Service Providers: Trusted vendors who assist in delivering the Services (hosting, Stripe, Twilio, analytics platforms), bound by contractual data-use restrictions.
- 5.2 Sales Partners: If you are a Client onboarded by a LixenAI Sales Partner, certain account and usage data may be accessible to that partner as part of their sub-account management.
- 5.3 Legal Requirements: When required by law, court order, subpoena, or governmental authority, or to protect the rights, property, or safety of LixenAI or its users.
- 5.4 Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will notify you before any such transfer becomes effective.
- 5.5 With Your Consent: With third parties when you expressly consent to such sharing.
6. Data Retention
We retain your data for as long as your account is active or as needed to provide the Services. Upon account termination, data is retained for ninety (90) days before deletion, unless a longer period is required by law. Billing records and contractual agreements may be retained for up to seven (7) years. AI conversation and voice call logs are retained for twelve (12) months, then anonymized or deleted.
7. Data Security
We implement commercially reasonable administrative, technical, and physical safeguards, including:
- Encryption in transit (TLS/HTTPS) and at rest for sensitive data
- Role-based access controls limiting data access to authorized personnel
- Regular security assessments and vulnerability testing
- Incident response procedures and breach notification protocols
No electronic transmission or storage is 100% secure. While we take data protection seriously, we cannot guarantee absolute security.
8. Cookies and Tracking Technologies
We use cookies on our website and platform to maintain sessions, remember preferences, understand usage patterns, and serve relevant content through third-party advertising partners. Most browsers allow you to refuse or delete cookies. Disabling cookies may affect certain platform features. We honor Global Privacy Control (GPC) signals where applicable.
9. Third-Party Integrations
Our platform connects with third-party services at your direction (Google, Meta, LinkedIn, TikTok, Stripe, Twilio, and others). Your use of these integrations is governed by each third party's own privacy policy. LixenAI is not responsible for the data practices of third-party providers.
10. California Privacy Rights (CCPA / CPRA)
California residents have the following rights:
- Right to Know: Request disclosure of categories and specific pieces of personal information collected about you.
- Right to Delete: Request deletion of personal information we have collected, subject to legal exceptions.
- Right to Correct: Request correction of inaccurate personal information.
- Right to Opt-Out: We do not sell personal information. Where applicable, you may opt out of cross-context behavioral advertising.
- Right to Limit Sensitive Data Use: Direct us to limit use of sensitive personal information to service-necessary purposes.
- Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights.

11. Children's Privacy
Our Services are intended for business use by adults 18 years of age and older. We do not knowingly collect personal information from individuals under 18. If we become aware of such collection, we will promptly delete it.
12. International Data Transfers
LixenAI operates in the United States. If you access our Services from outside the U.S., your information may be transferred to, stored, and processed in the United States. Data protection laws in the U.S. may differ from those in your country.
13. Changes to This Policy
We may update this Privacy Policy periodically. We will notify you of material changes by posting an updated version with a revised "Last Updated" date and, where appropriate, by email notice. Continued use of the Services after such notice constitutes acceptance.
